1. Who We Are

Senally is the public business name for the AI voice receptionist and administrative call-automation services described in this policy.

For legal notices, contracts, invoices, payment records, and formal privacy requests, the responsible legal entity operating Senally is identified as:

Legal Name: Senally

Business Name: Senally

Contact Email: contact@senally.com

In this policy, “Senally,” “we,” “us,” and “our” mean the responsible legal person or business operating Senally.

2. What Senally Does

Medical & Emergency Disclaimer:

Senally is not a medical provider, emergency service, or replacement for clinic staff. Senally does not make diagnoses, recommend treatment, interpret symptoms, give medication advice, or make clinical decisions.

3. What This Policy Covers

This policy covers information handled through:

  • The Senally website.
  • Contact and booking forms.
  • Scheduling and calendar tools used for walkthroughs.
  • Form tools used for business forms.
  • Support or chat tools, if enabled.
  • Private client onboarding.
  • Configured Senally voice and automation workflows.
  • Client portals, if included in the signed service scope.

4. Information We May Collect

We collect only the information needed for a specific business purpose.

4.1 Business Contact Information

When you contact us or book a walkthrough, we may collect:

  • Your name and work email address.
  • Business or clinic name and clinic website.
  • Business phone number, job title or role.
  • Business location or state and preferred meeting time.
  • General information about your phone, booking, or front-desk setup.

4.2 Information in Messages and Forms

We may collect the business information and message you choose to send through a form, email, scheduler, or support chat.

4.3 Service and Operational Information

If you become a client, the configured service may handle limited business and operational information such as:

  • Clinic name and public business details.
  • Clinic hours, time zone, and approved routine answers.
  • Staff handoff details and business phone numbers.
  • Call date, time, duration, status, and provider metadata.
  • A broad operational reason for a call, such as “booking request” or “callback requested.”
  • Follow-up task status and usage activity.

4.4 Voice, Recordings, and Transcripts

Recordings, transcripts, and free-form call summaries are not used by default in the initial Senally workflow. If a future workflow needs recordings, transcripts, or free-form summaries, we will first review the purpose, provider, consent process, access controls, retention period, and written scope. The clinic is responsible for approving the workflow and its notices to callers. Do not assume that a call is recorded or transcribed unless applicable service documents say so.

4.5 Payment Information

Payments may be processed by a third-party payment provider. Senally does not receive or store full payment-card numbers, security codes, or banking passwords. The payment provider’s own privacy policy applies to payment processing.

4.6 Technical Information

When you use the website, technical information (IP address, browser type, device metadata, pages visited, operating system, referring URL, and security logs) may be collected by website hosts, security systems, or analytics tools to ensure site integrity.

5. Information We Do Not Intentionally Request

Senally’s public forms are designed for business information only. We do not intentionally request patient medical information, diagnoses, treatment details, patient photos, payment-card information, passwords, API keys, provider tokens, or identity documents through public forms.

If you send this information by mistake, contact us at contact@senally.com. Do not send more sensitive information while asking us to remove it.

6. How We Use Information

We may use information to:

  • Respond to business questions and manage walkthrough bookings.
  • Review whether Senally is suitable for a clinic's operational needs.
  • Set up, configure, and provide an agreed voice or automation service.
  • Route business support requests and send administrative, billing, or security messages.
  • Create agreed operational tasks and reports for clinic management.
  • Monitor service health, prevent misuse, and keep required financial or tax records.

Strict Privacy Guarantees:

• We do NOT sell or rent personal information.

• We do NOT use client information to train public AI models or share it with competitors.

7. How We Share Information

7.1 Service Providers

We may use trusted service providers for website hosting, secure databases, telephony carriers, calendar scheduling, forms, payment processing, and security. These providers process information strictly as needed to deliver their services under their own terms and privacy policies.

7.2 Client Instructions

If Senally provides a service to a clinic, we handle information according to the clinic’s written instructions and signed service scope. The clinic remains responsible for its own notices, approvals, staff procedures, and decisions regarding data sent to Senally.

7.3 Legal and Safety Reasons

We may disclose information when reasonably necessary to follow applicable law, enforce agreements, protect safety/property, or detect and prevent fraud or security threats.

8. Clinic Data & Regulated Information

Senally’s initial service is designed to avoid patient medical information by default.

Senally does not claim that every configuration is HIPAA compliant, nor that a Business Associate Agreement (BAA) is automatically included. A BAA, data-processing agreement, or other special arrangement applies only if it has been separately reviewed, signed, and supported by the actual service configuration.

9. How Long We Keep Information

We keep information only for as long as needed for the purpose for which it was collected, unless a longer period is required by law, contract, accounting rules, or a legitimate security need.

When a service ends, we handle information according to the Order Form, applicable agreements, provider settings, and legal requirements.

10. Security Measures

We use reasonable administrative, technical, and organizational measures (including access controls, account permissions, secure configuration, and backup protocols) for the information we handle.

11. International Processing

Senally may operate across countries, and our infrastructure providers may store or process information in regions different from yours. The countries and transfer safeguards depend on the providers used for the specific service.

12. Cookies and Similar Tools

The website may use essential cookies and session tools for security, basic navigation, form performance, and scheduling features.

13. Your Choices & Privacy Requests

Depending on your location, you may have rights to access, correct, delete, or receive a copy of your personal information, or to object to certain processing.

To make a privacy request, contact our Privacy Office at contact@senally.com. We will respond according to applicable law after verifying identity.

14. Children

Senally’s services are built for businesses and adults. The website is not directed to children, and we do not knowingly collect children’s personal information through the public website.

15. Third-Party Websites and Services

Our website may link to third-party tools (schedulers, forms, payment portals). Third-party services operate under their own privacy policies outside Senally’s control.

16. Changes to This Policy

We may update this Privacy Policy when our services, providers, or legal duties change. Updates will be reflected by the “Last updated” date at the top of this policy.
