1. Who These Terms Are Between
These Terms of Service are between the business operating under the name Senally and the clinic or business using the service.

In these Terms:
- "Senally," "we," "us," and "our" mean the Senally service provider.
- "Client," "you," and "your" mean the clinic or business using the service.
- "Service" means the WhatsApp automation setup, configuration, ongoing maintenance, and support described in your Order Form.
- "Order Form" means the written proposal or service agreement that confirms your plan, price, and scope.
The Order Form and these Terms should be read together. If they conflict on a specific point, the Order Form takes priority for that client.
2. Accepting These Terms
You accept these Terms when you:
- Sign or approve an Order Form.
- Pay for a Senally Pilot Plan or Scale Plan.
- Ask Senally to begin setup work.
- Use the WhatsApp automation after it goes live.
If you accept these Terms on behalf of a clinic or business, you confirm that you have permission to do so.
3. What Senally Provides
Senally sets up and manages WhatsApp automation for independent dental surgeries, aesthetic clinics, skin clinics, and medical spas in Sri Lanka.
Depending on your plan, the service may include:
- A WhatsApp assistant trained on your clinic's doctors, fees, and schedules.
- Automated appointment booking directly into your calendar.
- Two-step WhatsApp appointment reminders.
- FAQ handling for common patient questions.
- Urgent message routing to your clinic team.
- Calendar integration with Google Calendar or equivalent.
- Ongoing maintenance and priority updates when your clinic details change.
Senally does not guarantee that every WhatsApp message will be handled, that every patient will become a booking, or that a specific revenue amount will be achieved.
4. Senally Is Not a Medical Service
Senally is an administrative automation service for clinics. It is not a medical provider, emergency service, or replacement for clinic staff. The WhatsApp assistant does not give medical advice, diagnose conditions, recommend treatment, or make clinical decisions.
Clinical Boundary Notice:
The Senally WhatsApp assistant must not be used to diagnose patients, assess symptoms, recommend treatment, or handle medical emergencies. Your clinic remains fully responsible for all clinical decisions, emergency procedures, and patient care.
5. How the WhatsApp Assistant Works
The WhatsApp assistant:
- Only uses information your clinic has reviewed and approved.
- Replies in English, Sinhala, and Tamil as agreed.
- Routes sensitive or urgent messages to your clinic team using your approved process.
- Does not make clinical decisions or give medical advice.
Your clinic must provide working escalation contacts and fallback instructions for situations the assistant cannot handle. Senally does not contact emergency services automatically unless a separate written process is agreed.
6. Pilot and Setup
The Pilot Plan is a 30-day live trial of one primary WhatsApp workflow at one clinic location. It includes setup, testing, and a review period before your team approves the system going fully live.
Setup work begins when Senally starts configuring, training, or testing your WhatsApp assistant. Senally will aim to have your clinic live within 7 days of receiving your clinic information and approvals.
Senally does not guarantee a specific launch date, booking rate, or revenue amount unless a written agreement clearly says otherwise.
7. Your Responsibilities
As a client, you agree to:
- Provide accurate clinic information: doctors, fees, hours, and clinic details.
- Review and approve all responses, flows, and routing before going live.
- Keep your WhatsApp Business number, calendar, and agreed integrations available.
- Tell Senally promptly when doctor schedules, fees, or clinic details change.
- Make sure your team knows how to handle escalated messages from the assistant.
- Follow WhatsApp's platform policies and your local privacy and consumer laws.
- Ensure the service is not used for medical advice or emergency handling.
- Pay all agreed fees on time.
8. Approved Content
Your clinic is responsible for the accuracy of all information approved for use in the WhatsApp assistant, including clinic hours, doctor availability, procedure fees, booking instructions, and FAQ responses.
Senally may pause or refuse to use content that appears unsafe, medically misleading, illegal, or outside the agreed scope.
9. Privacy and Patient Data
The WhatsApp automation is designed to handle booking logistics and general FAQ responses only. It is not designed to store patient medical records, symptoms, or clinical notes. Our full Privacy Policy explains how we handle information.
Your clinic remains responsible for its own patient privacy obligations under Sri Lankan law and any relevant healthcare regulations.
10. Third-Party Tools
The service uses third-party platforms including WhatsApp Business API (Meta), Google Calendar, and payment providers. Each has its own terms and privacy policies. Senally may change providers when necessary to keep the service running well, and will let you know if a change significantly affects your setup.
11. Fees and Payment
Your fees are confirmed in your Order Form. This includes the Pilot Plan fee (if applicable), the Scale Plan setup fee, and the monthly service fee. Fees are normally billed in advance.
Senally will not charge surprise overages. If your usage exceeds agreed limits, you will be notified before any additional charges apply. If payment fails, Senally may pause non-essential automation after providing reasonable notice.
12. Cancellation and Refunds
Full cancellation and refund rules are in the Refunds and Cancellation Policy and your Order Form. In summary:
- The Pilot Plan does not automatically renew.
- The Scale Plan (monthly) may be cancelled before the next billing date.
- Monthly fees already paid for the current period are normally not refunded.
- Setup fees are normally non-refundable once setup work has started.
13. Ownership
13.1 Senally's Work
Senally owns its service methods, configurations, templates, and workflows. Your clinic receives the right to use the agreed service during the active service period.
13.2 Your Clinic's Information
You keep ownership of your clinic information, branding, and approved content. You give Senally permission to use that information only to provide and maintain the agreed service.
14. Service Availability
Senally will make reasonable efforts to keep the WhatsApp automation running during agreed support hours. The service may occasionally be unavailable due to WhatsApp platform maintenance, provider outages, or issues outside Senally's control.
15. Limits on Liability
To the extent allowed by law, Senally's total liability for any claim connected to the service will not exceed the amount your clinic paid to Senally in the three months before the issue arose.
Senally is not liable for missed bookings, revenue losses, or patient dissatisfaction that results from incorrect clinic information, WhatsApp platform outages, or your team's failure to follow escalation procedures.
16. Suspension and Ending the Service
Senally may suspend or end the service for non-payment, requests for unsafe or prohibited workflows, or misuse. When the service ends, access is stopped and any outstanding fees remain due.
17. Governing Law
Governing Law: Democratic Socialist Republic of Sri Lanka
Disputes: We ask that both parties first try to resolve issues directly by written notice and good-faith discussion before pursuing formal action.
18. Changes to These Terms
We may update these Terms as our service evolves. The updated date at the top of this page will always reflect the most recent version.
